Flare xpress ("we," "our," or "us") operates the Fleet & Workforce Operations Platform, which includes our Web Admin Portal and mobile application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web and mobile platforms to manage fleets, workforce, warehouses, vehicles, and driver operations.

We collect information that identifies, relates to, describes, references, or can be linked to a particular consumer or device. Depending on your role, we collect:

• Personal & Profile Data: Full name, corporate email address, phone number, employment details (department, designation, employee ID, visa/work status), and profile photos.
• Identity & Compliance Documents: Uploaded identity credentials such as National IDs, driver licenses, passports, and certifications required for compliance and vehicle assignment tracking.
• Vehicle & Asset Data: Vehicle registration numbers, make/model, insurance records, Mulkia/agreements, chassis numbers, and attached vehicle images or condition reports.
• Operational & Workflow Data: Driver vehicle assign/unassign requests, approval logs, warehouse assignments, inventory items, SIM card linkages, and vendor agreements.

3. How We Use Your Information

We use the information we collect for legitimate business, operational, and security purposes, including to provide, maintain, and support our cross-platform web and mobile operations; authenticate user access and enforce role-based access control (RBAC) permissions; process driver vehicle assignment requests, manager approvals, and automated status shifts; facilitate document uploads and profile administration; and generate multi-module dashboards, analytics, and activity timelines.

4. Disclosure and Sharing of Information

We do not sell, rent, or trade your personal information. We may share information internally with authorized Super Admins, Managers, and HR personnel strictly according to your organization's assigned role permissions. We may also share data with trusted third-party cloud hosting providers and database managers required to keep platforms functional, under strict confidentiality terms, or when required by law.

5. Data Security & Retention

We implement industry-standard administrative, technical, and physical security measures. Data transmitted between the mobile app/web portal and our servers is encrypted in transit using HTTPS protocols. We retain personal data and audit logs for as long as your corporate account remains active or as needed to comply with legal obligations. You or your corporate administrator can request account deletion by contacting support.
